Printing, scanning and copying
You can print, scan and copy on campus using the Multi-Function Devices (MFDs).
Printing is secure, which means once you’ve sent your print job to the MFD it won’t print until you log in to the MFD (usually by scanning your student card) to release your print job.
You'll find MFDs on all 3 campuses, within each of the computer suites and libraries.
You need to have credit in your print account before you use the MFDs. You pay for printing by purchasing print credit online via the Edinburgh Napier app.
Please do not add more credit than you anticipate using as you will not be able to reclaim any unused credit.

New service: print from your personal device
You can now print to the MFDs via the Follow Me Q directly from your own personal device, however you will need to be connected to eduroam Wi-Fi to use the service.

Printing Frequently Asked Questions
How do I pay for printing?
- Either go to the Edinburgh Napier app or My Account.
- Click Print Credit.
- Log in using your student number and password.
- Click Add Credit.
- Follow the on screen instructions to credit your print account using your credit or debit card.
- Once the transaction is complete a summary page will appear, click Finish. You will return to your PaperCut payment summary where you will see your updated balance. You will also receive an automated email confirming your payment.
How do I check my print account balance?
To check your balance:
- Go to the Edinburgh Napier app, or log in to the My Account website.
- Click Print Credit.
- Log in using your Edinburgh Napier University student number and password.
- Use the options on the left to view your transaction history and recent print jobs.
How do I submit a print job from an on campus computer?
To send a print job to an MFD from an on campus PC:
- Select File and Print.
- Choose Follow Me Q from the list of printers.
- Select the relevant print options including number of copies, stapling and whether or not you wish to print double sided. Please note: by default your document will print in black and white and double sided, if you wish to print in colour and / or single sided select the relevant options from the Print dialog box.
- Click Print. You can then release your printed document from the printer (MFD).
Can I print from a personal device?
You can print to the MFDs via the Follow Me Q directly from your own personal device, however you will need to be connected to eduroam Wi-Fi to use the service.

How do I submit a print job from a laptop?
You can print from a laptop via the Web print service using a wireless connection. (Please note: you cannot print out in colour using the Web print service).
To submit a print job from a laptop:
- Log in to My Account using your Edinburgh Napier student number and password and click Print Credit or go directly to https://studentprint-1.napier.ac.uk:9192/user.
- Choose Web Print from the menu on the left.
- Click on the Submit a Job link on the right hand side:

Select Follow Me Q from the list of printer names then click on the green button: 2. Print Options and Account Selections.

Enter the number of copies and click 3. Upload Document.

Click Upload from Computer and browse to the document that you want to print. You will see that you can only print certain types of documents.

Once you've uploaded your document click Upload and Complete. Your document will be submitted for printing, a message in green will display during the submission. You will then see the status change to read 'Held in a queue'.

You can now go to the nearest MFD, scan your card or manually log in and select Print Release to print the document.
How do I submit a print job via email?
To submit a print job using your Edinburgh Napier email account:
- Address the email to print@napier.ac.uk - no message or subject line is required.
- Attach the file you wish to print (must be a MS Office or PDF document).
- Send the message.
- You'll receive a reply from "noreply@napier.ac.uk" which will include a link which you must follow to take you to the print service webpage where you can confirm the Print Job.
- You can then release the print job at the MFD.
How do I print in colour from a Windows PC?
To print in colour from a Windows PC:
- From the Print dialog box click Printer Properties.
- Select the Image Options and untick the "Xerox Black and White Conversion".
- Click OK.
How do I print in colour from an Mac on campus?
From your open document:
- Click File then Print.
- Select the Follow Me Q. Depending upon the application you are working in you may need to click Show Details, Advanced or More Options to view the Xerox Features option.
- Once you find it click Xerox Features to continue. The new window should have a second drop down menu directly below Xerox Features:
- Select Colour Options and you will be presented with a number of colour settings.
- Choose Automatic or Vivid Colour and click Print.
How do I release a print job from an MFD?
- You can visit any MFD across the University to release and collect your print job.
- To log in to the MFD scan your student card using the card scanner. If you don't have your student card you can log in to the MFD using your University login ID and password.
- Click the Print Release button.
- Select the document you want to print. Click Print.
Remember to log off.
How do I check print jobs pending release?
To check which print jobs are pending release from your print account:
- Log in to the Edinburgh Napier app and click Print Credit or go directly to https://studentprint-1.napier.ac.uk:9192/user
- Log in using your student number and password.
- The Summary page will open. From the menu on the left click Jobs Pending Release.
- You'll see a list of your print jobs. If you wish to cancel a job click on the Cancel button next to the relevant item.
How do I cancel a print job online?
To cancel a print job via your Print Account:
- Log in to the Edinburgh Napier app and click Print Credit or go directly to https://studentprint-1.napier.ac.uk:9192/user
- Log in using your student number and password.
- The Summary page will open. From the menu on the left click Jobs Pending Release.
- You'll see a list of your print jobs, click on the Cancel button next to the relevant item.
How do I cancel a print job on the MFD?
- Scan your student card using the card scanner or log in using your student number and password.
- Click the Print Release button.
- Select the document you want to delete then select the Delete button. The print job is now cancelled and will disappear from the list.
Can I print using the Virtual Desktop Service?
From the Virtual Desktop Service (VDS) you are able to print to a sub-set of on-campus network printers.
To attach to a printer when required:
- Click on the Announcements and Print Setup icon.
- Click Setup Campus Printer and follow the on screen instructions to install a printer.
Devices running Windows or Mac OS X Operating systems can also print to a local printer already connected to the device.
I have a large print job, is it OK to print this on the MFD?
If your print job contains over 250 sheets then you should send it to Print Services.

How do I log off the MFDs?
To log out of the MFDs, either:
- Scan your student card, or
- Click on your student number on the top left and click Log Out, or
- Click on the Log out icon on the touch screen:
I'm unable to print, what do I do?

Scanning
You can scan using the University’s Multi-Function Devices (MFD) - log in by scanning your student card.
Although scanning is free you need to have credit in your print accounts before you can use the MFDs.
You can use the MFD to scan your student card and passport along with other documents.
You can scan to your Personal Data Area (H drive):
- When logged in to the MFD press the Workflow Scanning button.
- Select Scan to Home - this will scan to your H drive (you will be prompted to enter your University Password after you press the start button)
- Click on the start button.
You can also scan to email, either to yourself or other recipients:
- When logged in to the MFD press the Email button.
- Click on New Recipient to add more email addresses.
- Click on the Start button.
Remember to log out when finished.
Photocopying
You can photocopy using the University’s Multi-Function Devices (MFD) - log in by scanning your student card.
You will need to have credit in your print account to use the photocopiers. The cost of photocopying is the same as printing.
To use the copier:
- Once logged in to the MFD position the document that you would like to copy and press the Copy button.
- Select the relevant options and number of copies required.
- Click on the Start button.
