Your email

As a student you will get a Microsoft Office 365 account which includes Outlook email, from which you can also access your calendar and contacts. 

Your University email address is: <your student number>@live.napier.ac.uk, e.g. 00123456@live.napier.ac.uk. 

You need to check your email account regularly:  Lecturers and other University staff will use it to contact you with important information. 

Please note: if you are a Research Student your email address will be <your first name>.<surname>@napier.ac.uk.  Further information for Research Students can be found on the Research Students staff intranet page

 
 

Accessing your email

You access your student Outlook email using your Microsoft Office 365 account, which is an online “cloud” account provided by Microsoft. 

You can also access your email via a mobile device.

Please note: your email account will be deleted around one year after you graduate, along with all items stored within it.

How do I change my email password?

Your email password is the same as your Edinburgh Napier network password.  When you change your network password your email password will also change – find out how to change your password. 

How much email storage do I get?

You get 50GB of email storage with your Microsoft Office 365 account.  

What is a Focused Inbox and how to do I turn it off?

Focused inbox separates your inbox into a "Focused" tab and an "Other" tab.

Important emails appear on your "Focused" tab, other emails appear in "Other".

You can easily switch between the two by clicking on the relevant tab - find out more about Focused Inbox for Outlook. 

Instructions for turning off your Focused Inbox can be found on the Microsoft website. 

How do I access my Microsoft Office 365 email account from an iPhone or iPad?

To set up email on your iPhone or iPad your device must be running iOS 11 or later.  

To set up email on your iPhone or iPad:

  • In the App Store, download and install the Microsoft Outlook app.
  • In the Microsoft Outlook App enter [Your student number]@live.napier.ac.uk.  E.g. 40001111@live.napier.ac.uk.
  • Select Add Account.
  • Enter your Edinburgh Napier University password.
  • Select Sign In.       
  • You may be prompted to add another account, you may do so or select Maybe Later.

How do I access my Microsoft Office 365 email account from an Android device?

This guide explains how to set up email on your Android device.  The device must be running Android 8.0 Oreo and newer. 

To set up email on your Android:

  • In the Play Store, download and install the Microsoft Outlook app.
  • Open Microsoft Outlook.
  • Outlook will prompt you to add accounts that it finds on the phone.  Uncheck the box(s) then select SKIP.
  • Enter your credentials: [Your student number]@live.napier.ac.uk.  E.g. 40001111@live.napier.ac.uk. 
  • Select CONTINUE.
  • Enter your account password.
  • Select Sign in.
  • You may be prompted to add another account, you may do so or select SKIP

What will happen to my Microsoft Office 365 account once I graduate or leave the University?

You will continue to have access to your Microsoft Office 365 account including email for a year after you graduate. 

After one year your MS Office 365 account will be deleted along with any files stored within the account.   Before you leave you should save any files you want to keep from your MS Office 365 account to a personal cloud storage account or a portable storage device such as a USB stick. 

What is the maximum size of email attachment that I can send / receive?

The maximum size of attachment that you can send and / or receive is 25MB. 

I have a personal email account, why do I have to use my University email account?

Edinburgh Napier University email is the only recognised method used by lecturers and other staff members to contact you.

Your Edinburgh Napier email account will be used to contact you about assessments, exams, timetable changes, room changes and other important information.

You must check your Edinburgh Napier University Email account regularly!

By exception, the University may contact you via your personal email address if you are at Results Withheld status as your access to official university systems will have been removed until you resolve your debt to the university.  The University may also use your personal email address if there are concerns about your wellbeing or safety.

I’m using a third-party provider to send emails from my Edinburgh Napier account and my email has not been delivered, why?

To protect the University from cyber-attacks it is not possible to send emails from an Edinburgh Napier email address via a third-party mail service such as as Gmail or Hotmail etc. 

You can only send emails via your University Microsoft Office 365 Outlook email account.
