Get a long-term laptop loan with the Digital Access Scheme

Due to funding from the Scottish Funding Council, we can now provide laptops for long-term loan for eligible students who are struggling to access appropriate IT resources.

Preference will be given to those who meet all or some of the following criteria:

  • Students in receipt of a UK funding body bursary or grant
  • Students in receipt of Universal Credit or Working Tax Credits
  • Students with dependants
  • Students who don't have sole use of a device
  • Students affected by global conflict
  • Students who have applied to the Home Office for settled status

Applicants must not be in receipt in of other IT funding (for example Disabled Students Allowance for the purposes of IT purchases).

Any equipment issued through the Digital Access Scheme will remain the property of Edinburgh Napier University and will be auto-renewed each year of study. The equipment must be returned upon completion of your studies, or as requested by Information Services. If the laptop is not returned when requested, you will be eligible for the replacement cost plus an administration fee.

Digital Access Scheme long-term laptop loan terms and conditions

  1. Long-term laptops remain the property of Edinburgh Napier University and the borrower must comply with the University’s Information Security Policies.
  2. Laptops are loaned for personal use only and must not be given to or used by any third party.
  3. Laptops can only by requested via the Keep on Track team - please email KeepOnTrack@napier.ac.uk
  4. The Borrowers of long-term loan laptops are not entitled to use the LapSafe laptop loan service.
  5. The Borrower is responsible for the loaned laptop and any loss and damage incurred. Please keep the laptop clean and avoid food and drink spillage. A charge (cost of repair or replacement) will be made for any damage caused.
  6. Laptops will be checked, and where a returned laptop is found to be damaged the borrower will be charged for repair / replacement.
  7. Borrowers should contact Information Services Service Desk by emailing ISServiceDesk@napier.ac.uk or calling 0131 455 3000 immediately should they notice any damage to the laptop.
  8. Laptops, power cables, and bags are issued until the end of August of the current academic year.
  9. Laptop loans will be automatically renewed by the Library, if the Keep on Track team advises them to do so. If it is not renewed the laptop must be returned by the due date or as requested by the Library.
  10. Loan period will be shortened if you leave University before the due date.
  11. If the laptop cannot be returned by the due date the borrower should contact the Library by emailing library@napier.ac.uk or calling 0131 455 3500 as soon as possible.
  12. Overdue laptops will be deemed as lost 14 days after the due date and a Lost Item Bill for the replacement cost will be issued. Replacement cost for the laptops is £750. Cost will be waived once the laptop is returned.
  13. Ability to login will be removed if the laptop is overdue for more than 14 days.
  14. Where appropriate, an appeal against a fine may be made using the Library Fine Appeal procedure.
  15. All work must be saved and backed up to an external device or online cloud storage. The University is not liable for any loss of data.
  16. Any data stored on the laptop should be removed before the laptop is returned or it will be removed/deleted by Information Services each time the device is returned.

Before using your laptop and accessing the online services at Edinburgh Napier University you must read the Information Security Policy

Accessing Online Services

When you click on a link to access My Account or any of your online services you will be prompted to log in.

  • Enter your Edinburgh Napier email address and password.
  • Your email address is <your student number>@live.napier.ac.uk e.g., 00123456@live.napier.ac.uk. 
  • You may also be prompted for Multi-Factor Authentication (MFA).
 

Edinburgh Napier Mobile App

The Edinburgh Napier app gives you personalised access to the University’s Online Services via your Mobile Device. 

Your Password

Do not disclose your password to anyone else: 

  • You can reset your password if it has been forgotten or is not working once you have registered for the Self-Service Password Reset Service: https://mypassword.napier.ac.uk

Your Edinburgh Napier Email Account

The student email service is Microsoft 365 which is hosted by Microsoft. 

  • Your email address is <your student number>@live.napier.ac.uk e.g., 00123456@live.napier.ac.uk.
  • Your mailbox size limit is 50GB.
  • Access your email via My Napier: go to My Account and click Email.
  • Log in using your Edinburgh Napier email address and password. 
  • If you have problems accessing your email account via My Napier, you can log in directly at: outlook.office365.com
  • Edinburgh Napier email is the method used by lecturers and other staff members to contact you (they will NOT email accounts with other providers). You MUST check your University email account regularly. 
  • Visit the Email page to find out more. 
 

Storing your Data

As part of your Microsoft 365 email account, you can access your OneDrive account from your device, which provides 1TB of storage. 

Your personal data area (H drive) provides you with secure data storage:

  • It is protected by your password and backed up regularly. 
  • You can’t access your H: drive directly from your student laptop but the Virtual Desktop Service enables you to access your H drive from your device providing it has internet access.

Anti-Virus Software

Your Edinburgh Napier laptop has anti-virus software pre-installed. Always accept security updates to your laptop when prompted.
